Going Live – Pre-Event Equipment Check

Pre-Event Equipment Check:

NOTE: It is important to setup and test ALL the equipment prior to the event in a controlled environment in the exact sequence / configuration that will be used for the event.

Cameras:
1) How many cameras will be used?
2) For each camera: tripod or stand, power supply, correct HDMI connection cables, carrying bag.
3) Are cameras going to to be used to record while webcasting? – TEST: some cameras will do this, some will not. Are there data cards of sufficient size to record entire event? NOTE: This could be an invaluable content backup in case of internet failure.

HDMI Cabling:
While HDMI delivers an excellent HD image – the connection was originally used for consumer devices. The nature of the connection itself is not the most reliable. HDMI cable MUST BE DE-STRESSED AT ALL TIMES. A roll of half-inch, dual-sided velcro strapping cut to specific lengths will assure good connections by strapping the cable to the to a tripod or stand. While a de-stressed HDMI camera can be used for movement shots from a tripod – hand-held usage of HDMI based cameras will invariably result in cord failure / damaged HDMI port.

HDMI “Unique Features”:
HDMI cameras and cabling are highly susceptible to static shocks or power variances. This can often result in a sudden loss of signal. The solution for this is to unplug & replug the cable from the camera. HDMI cable is also susceptible to being crushed. If people or wheels cross the cable, damage is usually permanent. HDMI does not have the same transmission length as HD-SDI or RCA cabling – while certain devices may allow up to 50 feet of cable, the industry standard is 25 feet. It is always advised to test out the exact length you plan to use for your event.

Switcher:
1) Make sure your switcher is powered on.
2) Make sure all cables are connected to their proper ports.
3) TAPE CABLES TO TABLE once you’ve confirmed all connections.
4) Select correct audio input source.
5) Use monitor hooked directly to switcher to check output signal.

Audio:
1) Evaluate your audio inputs – interview audio, location music, ambient location audio?
2) Use the correct microphone – desktop for interior interviews, handheld for location interviews (ex: Shure SM58), lavs for green-screen studio. Camera audio is RARLY USEABLE and creates amateur sounding webcasts.
3) Check your final output mix to avoid overload / distortion to webcast. This cannot be removed from final product. Here’s a quick tutorial on setting mic levels https://youtu.be/dRa26Xxe1EM .
4) If your event includes a band, a DJ or other main music source – you will need to get a line-level feed of that audio and bring it into your webcast as part of your audio mix.
5) Events with several microphones and music may require a separate audio operator using headphones to assure consistent audio quality.

Location Audio Notes:

Keep in mind that people will watch a clip with bad video and good audio. They will NOT watch a clip with good video and bad audio.

Make sure you have sufficient microphone cables or are using wireless mics. Make sure that wireless mics have a sufficient charge to make it through the duration of your event. Bring / charge EXTRA BATTERIES for wireless mics. Make sure that phantom power is turned on on your mixer if your mics require it.
